Privacy Policy and GDPR

Since May 25 2018, a new EU regulation has been applied throughout the EU. It is called the General Data Protection Regulation (GDPR), and applies to all companies and organizations that process personal data. The purpose of GDPR is to strengthen personal privacy and the right to protect personal data. Personal information is information that can be linked to you as a person: images, address, telephone number, etc.

By submitting personal data to www.jazzbreak.lu, each and every applicant automatically accepts that Jazz Break registers and stores all of your personal data collected for the specific purposes outlined below in this Privacy Policy document. We are committed to protecting your personal data. Our Privacy Policy contains important information about what personal details we collect, what we do with that information, who we may share it with and why, and your choices and rights when it comes to the personal information you have given us.

What information do we keep and for what purpose?

1. Use of cookies.

This website uses the following types of cookies, the scope and function of which are explained below: 

  • Session Cookies: Session cookies are automatically deleted when you close your browser. They store a so-called "session ID", which can be used to assign various requests from your browser to the shared session. This enables your computer to be recognised when you return to our website. The session cookies are deleted when you log out or close your browser.
  • Permanent Cookies: Permanent cookies are automatically deleted after a specified period, which may vary depending on the cookie. You can delete cookies at any time in the security settings of your browser.

You can configure your browser settings according to your wishes and, for example, refuse to accept cookies. We would like to point out that you may then not be able to use all the functions of this website.

2. Use of AWStats as web analysis software.

To evaluate our website statistically, we use the program AWStats. The statistics we obtain allow us to improve our service and make it more interesting for you as a user. The legal basis is Art. 6 Para. 1 lit. f GDPR. AWStats evaluates log files that our web server creates on the basis of visitor requests. The program does not use any cookie files for the evaluation. 

The statistical analysis is carried out via the log files, which also contain IP addresses. As a rule, these data cannot be assigned to specific persons. This data is not merged with other data sources. The data will not be passed on to third parties. The data will also be overwritten after a statistical evaluation and deleted after 7 days at the latest. In contrast to other statistical programs, AWStats does not transmit data to an external server. The program is installed on your own computer. The server is located in Germany.

The AWStats program is an open source project. Information from the third party provider on data protection can be found at https://www.awstats.org.

3. Our website may contain links to other websites. We have no influence on compliance with data protection laws by the operators of these sites.

When you register on our website for any of our activities, we need to collect some basic data: your name, surname and email address.

To facilitate the registration process, we use lektory.app, an external service provider whose servers are located in the European Union. Lektory.app is also subject to data protection regulations and contractual confidentiality obligations. Lektory.app uses Stripe to process online payments.

Your data will not be shared with any other external parties and it will only be used to complete the registration process and to keep mutual and necessary communication active and possible.

You are free to withdraw this information at any time by contacting us under info@jazzbreak.lu and we will immediately remove it from our database/file.

You might also be part of our WhatsApp community and have thereby given your consent to share your phone number with you. This phone number is kept separate from the abovementioned personal data. You can remove your consent at any time by leaving said WhatsApp community.

If you wish to receive Jazz Break's newsletter, we will need to collect your email address.

When you want to become an active member of Jazz Break, we will collect your name, surname and email address. An updated list of active members is stored at the association's seat. Your data is kept until one year after your eventual departure from the association (resignation or exclusion).

By registering, volunteering or participating in Jazz Break activities, you grant permission for Jazz Break to use photographs and/or videos of you taken during those activities in publications, news releases, social media, online, and in other communications related to the mission and activities of Jazz Break. Should you have any questions or concerns regarding your image being taken, please contact info@jazzbreak.lu in advance.

If you see a picture or video featuring you that you would like us to delete, please reach out to info@jazzbreak.lu and the published content will be unpublished and also removed from our archives.

Jazz Break are required to keep financial records showing any payments the contracting party made to us for ten years. This information is kept separate from your personal data. We will never use these details to contact you in regard to anything except your payments.

Jazz Break do not share your data with any third parties (other than lektory.app) without your additional consent, if not required under applicable law to fulfill legal obligations.

Withdrawing consent for storage of your data

Jazz Break will at your request or on our own initiative replenish, rectify or erase any incomplete, inaccurate or outdated personal data linked to your person. You can withdraw your consent for the storage of your personal data at any time. The data will then be deleted immediately provided that it is not prescribed by law or needed for billing or accounting purposes or as soon as these purposes are fulfilled. Making a complaint

We hope that you will never have a reason to complain about Jazz Break and data we store about you. If you do have concerns please contact us at info@jazzbreak.lu so that we can work with you to put things right. You have the right to make a complaint to the supervisory authority (www.cnpd.lu).

Final provisions

If we decide to change our Privacy Policy, we will post any amendments on this page so that anyone always is aware of what information we collect, how we use it and under what circumstances we disclose it to third parties (other than lektory.app).
